Staff HR (“Staff HR,” “we,” “us,” or “our”) values your trust. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit our websites, use our online services, communicate with us, apply for or accept work through us, or otherwise interact with us (collectively, the “Services”).

1. Scope and Notice at Collection

  • Job applicants, candidates, and workers whom we recruit, place, or employ, including temporary associates.
  • Business contacts at client companies, vendors, and business partners.
  • Visitors to our websites and users of our online tools, portals, and mobile experiences.

Depending on your relationship with Staff HR and where you live, we may provide additional notices that
supplement this Policy, such as job-applicant notices or state-specific notices required by applicable law.

2. Personal Information We Collect

We collect personal information from three primary sources: (a) information you provide to us; (b) information collected automatically when you use the Services; and (c) information we receive from third parties.

2.1 Information You Provide

The information you provide may include the following types of data:

  • Identifiers and Contact Information: Real name, alias, mailing address, telephone number, email address, username, and account credentials.
  • Personal, Employment, and Payroll Information: Signature, educational background, employment history, bank account information, direct-deposit details, and other information needed to evaluate candidates, manage assignments, administer payroll, or comply with legal obligations.
  • Commercial and Professional Information: Resume/CV details, skills, references, availability, compensation preferences, company name, and professional title when you represent a client or vendor.

2.2 Sensitive Information

Certain types of data may be considered sensitive personal information under applicable privacy laws.
We collect and process sensitive information only for essential business purposes, such as administering
the employment relationship or complying with legal requirements:

  • Government identifiers: Social Security number (SSN), driver’s license number, state identification card number, or passport number.
  • Account-access credentials: Username and password combinations used to access Staff HR portals.
  • Demographic and background information: Information regarding protected classification characteristics, such as race, ethnicity, or disabilities, collected strictly on a voluntary basis for equal employment opportunity (EEO) compliance and workplace accommodations.
  • Precise geolocation: Only if you actively enable that feature in your device settings for timekeeping or other Service functions.

California Note: Staff HR does not use or disclose sensitive personal information for purposes other than those permitted by applicable privacy laws. Therefore, Staff HR is not required to provide a “Limit the Use of My Sensitive Personal Information” link.

2.3 Information Collected Automatically

When you use the Services, we and service providers acting on our behalf may automatically collect:

  • Network and electronic-activity information: Device and browser details, including IP address, browser type, operating system, browsing history, searches performed, and interactions with features of our Platform.
  • General geolocation data: Approximate location derived from your IP address.
  • Cookie and similar-technology data: Usage information collected through essential, analytics, and advertising cookies. See Section 6.

2.4 Information from Other Sources

We may receive information about you from third parties, including:

  • Employment references, former employers, and public sources.
  • Professional and recruiting platforms, if you link your profile to our Platform.
  • Background-check, identity-verification, and work-eligibility providers.
  • Clients where you perform assignments or seek placement, including performance evaluations, time records, and assignment information.

3. How We Use Personal Information (Business Purposes)

We use the categories of information described above for the following specific business purposes:

  • Providing staffing and recruiting services, including evaluating candidates, matching profiles to job opportunities, coordinating interviews, and managing placements.
  • Administering employment and workforce operations, including onboarding, timekeeping, payroll, benefits administration, training, and workplace safety.
  • Operating, protecting, and improving our websites and tools, including troubleshooting, quality control, data analysis, and developing new features.
  • Communicating with you, including responding to inquiries, sending essential service notices, and providing information you request.
  • Sending informational or marketing messages where permitted and subject to your opt-out preferences.
  • Protecting the Services and our organization, including fraud prevention, account security, cybersecurity incident detection, and enforcement of our policies.
  • Complying with legal obligations and defending legitimate rights and interests, including responding to court orders, government audits, and employment-related claims.

4. How We Disclose, “Sell,” or “Share” Personal Information

We disclose personal information as needed to operate our business. During the past 12 months, we have disclosed the categories of information described in Section 2 to the following categories of recipients:

  • Clients and prospective clients: To evaluate candidates, manage active assignments, and administer workforce needs.
  • Service providers and contractors: Companies that perform services on our behalf, including IT hosting, data analytics, marketing support, background checks, payroll processing, and benefits administration, under contracts that restrict them from retaining, using, or disclosing information for purposes outside the contracted services.
  • Professional advisers: Auditors, attorneys, and outside consultants.
  • Government and regulatory authorities: Law-enforcement agencies and regulators when required by applicable law.

Disclosure of “Sale” or “Sharing” under the CCPA:

Staff HR does not sell your personal information for monetary consideration. However, the use of thirdparty analytics and advertising cookies on our website may be classified as “sharing” information for cross-context behavioral advertising under California law. You have the right to opt out of this sharing as described in Section 5.

5. Your Privacy Choices and Rights

Depending on where you reside, you may have specific rights regarding your personal information. We will respond to your requests within the time periods required by law.

5.1 Communication Preferences

  • Email marketing: You may opt out of promotional emails at any time by clicking the “unsubscribe” link included in the message. You will continue to receive operational communications related to your account, job applications, active assignments, or legally required notices.
  • Text messages (SMS): If you opted in to receive text messages, you may cancel them by replying STOP to any message. Consent to receive marketing texts is not a condition of employment or engagement.

5.2 Your Rights under the CCPA/CPRA (California Residents)

If you are a California resident, you have the following rights regarding your personal information,
including data of job applicants and temporary workers:

  • Right to Know and Access: Request to know the categories of information we collect, the sources of that information, the business purpose for collection, and the specific pieces of personal information we maintain about you.
  • Right to Delete: Request deletion of your personal information, subject to legal exceptions, such as where data is legally required to process current payroll, comply with tax-retention periods, or defend a legal claim.
  • Right to Correct: Request correction of inaccurate or incomplete personal information maintained in our records.
  • Right to Opt Out of Sharing: Request that Staff HR not share your data for targeted or behavioral advertising through third parties.
  • Right to Non-Discrimination: Not be discriminated against, penalized, or treated adversely for exercising your privacy rights in good faith.

5.3 How to Submit a Request and Verification Process

To submit a verified request to exercise your rights to Access, Deletion, or Correction, please contact us using the methods listed in Section 12.

Verification process: To protect your security, we will verify your identity by comparing the information you provide, such as your name and email address, with information stored in our systems. You may designate an authorized agent to submit requests on your behalf, provided the agent supplies a signed written authorization confirming that authority and verifies the agent’s own identity.

Opt-Out Preference Signals (Global Privacy Control – GPC): Our website recognizes and honors automated browser-based signals such as the Global Privacy Control (GPC). If your browser transmits a valid GPC signal, our system will automatically opt you out of advertising and tracking cookies on that specific device and browser.

6. Cookies and Tracking Technologies

We use cookies, pixels, and similar technologies to operate our sites, remember your preferences, measure web performance, and enable analytics. You can control non-essential cookies at any time byclicking the “Cookie Settings” link located in the footer of our website or by adjusting your browser settings.

Except for automated opt-out signals such as the GPC described in Section 5, our platform does not alter its operational practices in response to general “Do Not Track” signals sent by internet browsers.

7. Data Retention Criteria

We retain personal information only for as long as reasonably necessary to fulfill the purposes described in this Policy or as required by applicable law.

  • Employment and Job-Application Records: We retain candidate and employee data for the duration of the recruiting process or employment relationship, plus any additional period required by applicable employment, tax, immigration, recordkeeping, or legal-defense obligations.
  • Business Contact Data: We retain information for the duration of the client or vendor relationship, plus the legally necessary period to resolve billing discrepancies or enforce contractual terms.
  • Web Traffic and Analytics Data: We retain this data for limited periods based on our analytics settings, operational needs, and applicable legal requirements.

8. Security

We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, disclosure, alteration, or destruction. However, no transmission or storage system can guarantee 100% security.

9. International Transfers

If you access the Services from outside the United States, please note that we may process and store information in the United States and in other jurisdictions where we or our service providers operate. The data-protection laws in those jurisdictions may differ from the laws in your jurisdiction.

10. Children’s Privacy

Our Services are intended for adults and are not directed to children. We do not knowingly collect personal information from children under 13. If you believe a minor has provided us with personal information, please contact us promptly so we can delete it.

11. Third-Party Sites and Features

Our Services may contain links to third-party websites or include embedded third-party features, such as social-media widgets. Your interactions with those third parties are governed by their privacy policies and not by this Policy.
